Description We are looking for an experienced Executive Assistant to join our team in San Francisco, California. In this long-term contract role, you will provide critical support to senior executives within the financial services industry. This position requires a proactive individual with exceptional organizational and communication skills. Responsibilities: - Manage executive calendars, scheduling meetings, and coordinating conference calls to ensure efficient time management. - Prepare and handle correspondence, reports, and presentations with accuracy and professionalism. - Organize and oversee travel arrangements using Concur, including flights, accommodations, and itineraries. - Facilitate virtual meetings and webinars, leveraging platforms such as Cisco Webex Meetings. - Maintain and update records within CRM systems to ensure data accuracy and accessibility. - Monitor and track employee timekeeping using Kronos Timekeeping System. - Collaborate with internal and external stakeholders to streamline communication and address inquiries. - Support day-to-day administrative tasks, including filing, document management, and expense reporting. - Assist with planning and executing events and meetings, ensuring all logistical details are addressed. - Uphold confidentiality and discretion when handling sensitive information. Requirements - Proven experience as an Executive Assistant, preferably in the financial services industry. - Proficiency in ADP, Cisco Webex Meetings, Concur, and CRM systems. - Strong skills in calendar management, correspondence, and effective communication. - Familiarity with Kronos Timekeeping System and other administrative tools. - Ability to manage multiple priorities and deadlines in a fast-paced environment. - Exceptional organizational skills with keen attention to detail. - Adept at handling conference calls and virtual meetings. - High level of discretion and confidentiality when managing sensitive information.
